Access IT has been implementing business systems for nearly twenty years and has developed an extremely defined and successful implementation methodology that will bring your solution live in the shortest time possible while still providing a comprehensive analysis and refinement of your business.  Our implementation process consists of six phases;
 
Software Evaluation and Solution Acceptance
Selecting a Business Software Solution Provider is similar to selecting a Business Partner. You need a partner with a sound reputation and a proven track record, driven to provide the right blend of technology and industry "best practices". We fully recognize the significance choosing your next business management application will have on your organization. During this phase our objectives are to:
  • Listen and learn about your business, so we are able to suggest the right solution for your current and long term objectives;
  • Provide you with enough product awareness so that you can successfully differentiate the benefits of our proposed software application compared to the others under review;
  • Clearly explain our implementation methodology; and lastly
  • Establish a business relationship so that you can confidently select Access IT as your next business solution partner
Requirements Analysis and Project Planning
Prior to beginning any new implementation, Access IT performs a complete requirements analysis to determine each business processing flow within your company. Our objective is to understand your business from your perspective, then apply it to the software. During this phase Access IT will study your major business transactional flows within your organization as well as;
  • Identify any process improvements that can be gained by using the new business software;
  • Recognize the “GAPs” between functionality required by your business and functionality available within the proposed application software;
  • Define during which project phase each functional area will be implemented;
  • Define files for data conversion and reporting requirements;
  • Review operating and database platforms; and
  • Any personnel and location logistical concerns;

Using the information collected, Access IT will produce a comprehensive document defining all the requirements in detail and a conceptual layout of the solution. This concept document will define the software functionality required to meet the needs, plus it will highlight the specific functionality that will require software customizations.
 

Key User Implementation
In an effort to maximize time and resources efficiently within an implementation, Access IT and our client will identify a group of people within your organization that will represent the Key User Team. This team (usually comprised of a representative from each department) will be responsible for assisting Access IT in tailoring the business software setups and process flows for the company. During the Key User Implementation this team will;
  • Receive an education on each transactional flow and data setup required in the software;
  • Make business decisions related to “going forward” procedures within the company;
  • Prepare all key data either through conversion or key in;
  • Perform a complete process flow pilot exercise confirming the solutions validity as it relates to the company
  • Plan for end-user education roll out
End User Implementation
Through the success of our Key User Implementation we have defined and proven the transactional flow and have concluded the required data loading process. The End User Implementation focuses on educating the remaining users on the areas specific to their role. During the End User Implementation the company will;
  • Train and educate users on the business software as it was defined during the Key User implementation;
  • Perform a company-wide pilot exercise simulating how the application will be used at go live. During this pilot exercise, end users will perform a full system run using a representative sample of transactions selected by Key Users. Access IT consultants will be available to resolve product problems, help users validate the data and integrate work processes with the software product.
  • Prepare for the final cut over to go live process.
Solution Deployment (Go Live)
With Access IT personnel on-site, the client will execute the final data imports and “go live” with the product.
